Almost every rejected print file fails for the same reason: it was designed as if cutting were perfect. It isn't — a guillotine slicing through hundreds of sheets drifts by a millimetre or more, so print files carry three nested boxes.
The Three Boxes
- Bleed — the outermost box, extending 3 mm beyond the final size on every edge (in the US, 0.125 inch). Any background colour or image that should reach the edge must extend all the way to here.
- Trim — the middle box: the actual finished size of the piece. This is where the blade is aimed.
- Safe area — the innermost box, 3–5 mm inside the trim. All text and important content must sit inside it.
Together they mean: if the cut drifts outward you still have printed background (from the bleed), and if it drifts inward it doesn't slice your text (thanks to the safe area).
The Two Classic Failures
- No bleed. The background stops exactly at the trim line. The cut drifts by half a millimetre and you get a thin white sliver along one edge, on some copies but not others. This is the most common rejection reason.
- Text too close to the edge. It looks balanced on screen, then arrives with the descenders shaved off. Anything within 3 mm of the trim is at risk.
Both are invisible in a PDF preview, which is why printers check them mechanically rather than trusting the eye.
Setting Up Correctly
- Start with the right document size, then add bleed in the document setup rather than enlarging artwork afterwards.
- Extend backgrounds and images into the bleed — not by stretching them, but by ensuring the photo or colour genuinely continues.
- Keep all text inside the safe area, including page numbers and small print.
- Export as a PDF with bleed and crop marks if the printer asks for them; otherwise export at the bleed size with no marks. Follow their spec sheet exactly — printers vary.
- Use CMYK for offset printing, at 300 DPI for images. Many digital printers accept RGB and convert, but check first; unexpected conversion is where colours shift.
Special Cases Worth Knowing
- Folded pieces need extra allowance at the folds, and the panels of a tri-fold are not all the same width — the inward-folding panel is a couple of millimetres narrower.
- Double-sided printing has front-to-back registration tolerance, so don't design elements that must align exactly through the paper.
- Borders are risky. A thin frame near the edge magnifies any drift: a 2 mm border cut 1 mm off-centre looks obviously uneven. If you want a border, make it wide.
- Booklets need creep allowance as pages nest.
Before You Send
Check: bleed present on all four sides, no text within the safe margin, images at 300 DPI at final size, fonts embedded or outlined, colour mode as specified, and one final look at the exported PDF rather than the working file. Five minutes here saves a reprint cycle.
